About Your Role.

As our Front Desk Administrator, you will be the first point of contact for patients, ensuring a welcoming and seamless experience while representing who we are and what we do. This full-time position plays a vital role in supporting the team by managing daily administrative tasks and contributing to the practice’s overall efficiency. Your responsibilities will span front desk reception to back-office operations, working closely with the team to enhance practice operations and deliver an exceptional patient experience.

What You Need To Know

Duties & Responsibilities

  • Patient Interaction: Greet patients warmly, manage check-in and check-out, and assist with inquiries to ensure a positive experience.
  • Appointment Management: Manage the practice appointment book, schedule appointments, and ensure maximum efficiency in booking.
  • Payment Processing & Accounts: Process patient payments, assist with insurance claims, and help with daily reconciliation of accounts.
  • Communication: Manage incoming and outgoing calls, respond to emails, and handle patient reminders and recalls.
  • Marketing Support: Assist with social media scheduling, coordinate text campaigns, and preparing marketing materials using tools like Canva.
  • Stock Management: Monitor inventory, place orders, and working with the team to help ensure the practice has all necessary supplies.
  • Data Management & Reporting: Maintain accurate records, generate reports, and ensure compliance with GDPR in all activities.
  • Practice Operations Support: Assist with both front desk and back-office functions, providing support to the clinical and management teams for seamless daily operations.
  • Technical Support: Act as a liaison for tech-related issues, troubleshooting and coordinating with support teams when needed.
  • General Maintenance: Help with the upkeep of the practice to maintain a clean and professional environment.
